đź“… Conference Schedule & Key Dates

1) Are there events before or after the conference? Should we book extra time?
Yes.

  • Day 0 (June 16): Community Tracks (limited seats) + pre-conference mingling/happy hour
  • June 20: Optional full-day guided tour to Ephesus (limited seats)

We strongly recommend booking extra time to participate.


2) Where is the Opening Reception on June 16, 2026?
The Opening Reception will take place at Scappi Restaurant, located on the 9th floor rooftop of SwissĂ´tel BĂĽyĂĽk Efes Izmir (the conference hotel).


3) What is the registration deadline?
At least one author per accepted paper must register by March 4 to be included in the program.

  • Early bird deadline: April 18, 2026
  • Final registration deadline: May 13, 2026

4) Do all co-authors need to register?
No. Only one author per paper must register.


5) Can I add community tracks or the Ephesus tour later?
No. Add-ons must be selected during registration due to logistical planning.


6) When will the preliminary program be available?
The preliminary program will be released around March 15.


7) What is the cancellation policy for conference registration?
We understand that plans may change. The following cancellation policy applies to all conference registrations:

Full Refund Period
Participants may request a full refund (minus an administrative fee) until May 17, 2026.
An administrative processing fee of €30 will be deducted from all refunds to cover bank and transaction charges. Refund requests must be submitted in writing via email: lenacavusoglu@pacificu.edu

No Refund Period
No refunds will be issued for cancellations received after May 17, 2026.

8) My card is getting declined. What can I do?

To help ensure your registration payment is processed successfully, please review the following guidelines before submitting payment:

  • Use only VISA or MasterCard. American Express (AMEX) is not accepted.
  • Confirm your card allows international transactions. Payments are processed internationally.
  • Ensure your card can be charged in Euros (€). Some banks require prior approval for foreign currency transactions.
  • If your payment fails on the first attempt, immediately check your email, text messages, or banking app for a fraud alert and verify the transaction if prompted.
  • Contact your bank to inform them you are making an international purchase to prevent the charge from being blocked.
  • Retry the payment only after resolving any bank alerts. Retry with another card if the problem persists.

📍Location & Campus

1) Where is the campus located in relation to the city center?
The campus is within the city. It is:

  • Close to major shopping malls
  • About 20 minutes by car from Alsancak (main city center)
  • 30–60 minutes from popular summer towns

It is centrally located between downtown and coastal areas.

🏨 Accommodation

1) Where are we staying?
The official conference hotel is SwissĂ´tel BĂĽyĂĽk Efes Izmir.
Special conference rates are available.

2) Is the hotel close to campus?
The hotel is located in the city center, approximately 25 minutes from campus.

Daily shuttle service:

  • Morning: Hotel → Campus
  • Evening: Campus → Hotel

Shuttle service to campus is available for hotel guests only.


3) Do you recommend Airbnb in Izmir?
Airbnb operates legally in TĂĽrkiye but is regulated. Short-term rentals must hold an official permit and display a registration number.

We recommend booking:

  • Licensed properties
  • Well-reviewed listings
  • Verified hosts

Unlicensed listings may appear unusually inexpensive.


4) What is the hotel cancellation policy?

🚍 Transportation

1) Can I use the shuttle if I stay elsewhere?
Daily campus shuttles are reserved for hotel guests only.

However, for:

  • Gala dinner
  • Community tracks
    Participants may join transportation departing from the conference hotel.

2) How do I get from Izmir Airport to the hotel?
Recommended options:

  • Airport shuttle
  • Uber (functions as a taxi service)
  • Official taxi (ensure the meter is running)

Travel time: approximately 25–30 minutes depending on traffic.


3) What if my flight connects through Istanbul to Izmir?
If your luggage is checked through to Izmir, you must collect it at the International Terminal baggage claim in Izmir. Follow airport signage carefully.

4) Does Uber work in Izmir?
Yes. Uber functions as a way to call a taxi (not ride-sharing).
You can also book a ride through apps like BiTaksi (which connects you with licensed local taxis). Note that Lyft is not available in İzmir.


4) How do I find and take a taxi in İzmir?
Taxis in İzmir are easy to recognize — they are bright yellow vehicles with a “TAKSİ” sign on the roof. You will often see them waiting at taxi stands near hotels, shopping areas, and transport hubs. However, the easiest and most common way is to simply hail one from the street: step to the curb and raise your hand, and an available taxi will stop.


5) How much should I expect to pay, and is tipping required for Taxis?
All taxis in İzmir use a meter and follow a standard minimum fare called indi-bindi (“get in–get out.”). This means:

  • The meter starts normally at the beginning of the ride.
  • For very short trips, the fare will automatically round up to the city’s minimum charge.
  • For longer trips, you simply pay the metered amount.

This is standard practice across TĂĽrkiye and is not an extra fee.

Tipping is not required, but it is customary to round up the fare as a polite gesture, especially for short rides.

🍽️ Food, Drinks and Safety

1) Can you drink tap water in Turkey?

It’s not recommended to drink tap water in Turkey. However, it is perfectly fine to brush your teeth, wash your face and of course, shower. 🙂 For drinking, locals and visitors usually prefer bottled water. 

2) Do I need to tip in Turkey?

Tipping in Turkey is appreciated but not mandatory. Unlike in some countries, service staff do not rely heavily on tips, so it’s more of a polite gesture for good service rather than an expectation.


3) How much should I tip at restaurants?

  • In most restaurants, leaving 5–10% of the bill is considered generous
  • In casual spots, locals often round up the bill or leave small change
  • In higher-end restaurants, 10% is standard if service isn’t already included
  • In street food kiosk, no tipping is expected.
  • Always check your bill—some places may include a service charge

4) Should I tip in cafés or bars?

Tipping is not expected, but it’s common to:

  • Round up the total or leave coins
  • Leave a small tip (around 5%) if you received table service

5) Do I tip taxi drivers?

No formal tipping is required. Most people simply round up the fare to a convenient amount if they pay cash to make the change easier.


6) What about tipping at hotels?

  • Bellhops: A small tip per bag is appreciated
  • Housekeeping: Leaving a small daily tip in your room is a kind gesture
  • Concierge: Tip only if they provide extra or special assistance but no tipping is expected.

7) Should I tip in cash or card?

Cash is preferred for tipping, especially in smaller establishments. Keeping small bills or coins handy is helpful. Tipping by card does not exist.


8) What happens if I don’t tip?

Nothing at all—tipping is optional. While appreciated, it is not expected, and you won’t be treated differently if you choose not to tip.


9) What is “kolonya” and why is it offered before meals?

You may notice staff offering a light splash of kolonya (a lemon-scented alcohol-based cologne) on your hands before a meal, especially in more traditional or local restaurants.

  • It is used as a hand sanitizer and refresher
  • This is a long-standing cultural tradition and a sign of hospitality and cleanliness
  • Simply hold out your hands and allow a small amount to be poured, then rub your hands together

It’s completely normal and safe—no need to feel unsure. Accepting it is polite, but you can also decline with a smile if you prefer or allergic to any ingredient.

đź’ł Money and Payments

1) Should we buy Turkish lira in advance?
You may:

  • Use credit or debit cards (especially those without foreign transaction fees)
  • Withdraw Turkish lira directly from ATMs

Cash is mainly needed for traditional markets and bazaars.

We recommend carrying a small amount of local currency (approximately the equivalent of €100).
American Express is usually not accepted.


2) Is negotiating common in Izmir?

In Izmir, bargaining exists but is less aggressive and more relaxed than in larger tourist hubs like Istanbul. It’s part of the culture in certain settings, but not everywhere.


3) Where is it appropriate to negotiate?

You can usually negotiate in:

  • Street markets (bazaars)
  • Small, independent souvenir shops
  • Carpet, leather, or jewelry stores

Negotiation is not expected in:

  • Supermarkets or chain stores
  • Restaurants, cafĂ©s, and bars
  • Malls or places with fixed price tags

4) How much can I negotiate?

  • Discounts typically range from 5–25%
  • Higher discounts may be possible for multiple items or higher-value purchases
  • Prices in Izmir are often already more reasonable than in heavily touristed cities, so margins may be smaller

🛂 Visa & Travel Requirements

1) Do we need a visa? How does the visa process work?
Visa requirements depend on nationality.

If required:

  • Apply via Turkey’s e-visa website (quick online process)
  • Or apply through your local consulate

2) Do European participants need a visa?
Schengen/EU passport holders do not need a visa for stays up to 90 days.
A passport is required. European ID cards are not accepted for entry.


3) Can I receive an invitation letter for visa purposes?
Yes. The university can issue an official invitation letter upon request.

4) Can I travel with prescription medication?
If carrying controlled medication (e.g., strong painkillers), contact the Turkish embassy or consulate in advance to confirm documentation requirements.

🎤 Papers & Presentations

1) Do I need to revise my abstract after peer review?
No. Revisions are not mandatory this year. You may contact organizers if you wish to make corrections before registration closes.


2) Can I update my research before presenting?
Yes. You may present updated findings, as long as the core topic remains consistent with your accepted abstract.


3) What should I emphasize in my presentation?
Since the audience is interdisciplinary, focus on:

  • Your methodology
  • Your findings
  • Your analysis and presentation of results

Keep the literature review concise.

🎉 Social Events & Guests

1) Can partners, spouses, or friends attend the gala dinner?
Yes. Guest tickets are available for purchase during registration only.


2) Can guests attend the community tracks or Ephesus tour?
Yes. Guest tickets must be purchased during registration.


3) Can I bring a companion?
Yes. You may bring up to three guests for social events (ticket required).

Family members and friends (up to three guests) may attend your presentation with prior approval from the conference co-chairs.


4) Is there an age limit for the gala dinner?
No. The gala dinner is family-friendly.
The bar operates on a cash basis.


5) What should I wear?
Community Tracks: Comfortable clothing and sneakers. Modest dress required for mosque visits (cover shoulders; bring a scarf).

Ephesus Tour: Comfortable walking shoes, sun protection, light clothing (June temperatures: 28–35°C).

Gala Dinner: Elegant or cocktail attire recommended.

♿ Accessibility & Participant Support

1) Is the conference accessible?
Participants with accessibility needs should contact the co-chairs directly so appropriate support can be arranged (including student assistance and special accommodations).


2) Is there a quiet room available during the conference?
Yes. A dedicated quiet room will be available near the conference sessions for rest and relaxation.


3) Where can I store my luggage on the last day?
A luggage storage room will be available at the university near the conference classrooms for participants departing later in the day.

1) Will the proceedings be indexed?
The organizing team is working toward Scopus indexing and ISSN registration. Updates will be communicated once confirmed.
