Payment Tips to Avoid Credit Card Declines

To help ensure your registration payment is processed successfully, please review the following guidelines before submitting payment:

  • Use only VISA or MasterCard. American Express (AMEX) is not accepted.
  • Confirm your card allows international transactions. Payments are processed internationally.
  • Ensure your card can be charged in Australian dollars (AUD). Some banks require prior approval for foreign currency transactions.
  • If your payment fails on the first attempt, immediately check your email, text messages, or banking app for a fraud alert and verify the transaction if prompted.
  • Contact your bank to inform them you are making an international purchase to prevent the charge from being blocked.
  • Retry the payment only after resolving any bank alerts. Retry with another card if possible.

Taking these steps in advance will significantly reduce the likelihood of payment failure.

Important note about optional social events!

It is important to keep in mind that optional social events, such as community tracks, can only be added during registration and must be paid for at that time. Late add-ons will not be available.

Please also note that any guests attending these events must be  added during the registration process; guest additions after registration will not be possible. This requirement is essential for planning purposes, including venue selection, transportation arrangements, and meal preparation, and helps prevent food waste.

Due to system and payment processing limitations, we are unable to modify registrations or manually add participants after submission. We appreciate your understanding and encourage participants to review their selections carefully before completing registration.

Conference Registration Cancellation Policy

We understand that plans may change. The following cancellation policy applies to all conference registrations:

Full Refund Period
Participants may request a full refund (minus an administrative fee) until May 7, 2027 at 11:59PM (Australian Eastern Standard Time or AEST). An administrative processing fee of AUD $50 will be deducted from all refunds to cover bank and transaction charges. Refund requests must be submitted in writing via email: netnocon2027@westernsydney.edu.au.

No Refund Period
No refunds will be issued for cancellations received after May 7, 2027 at 11:59 PM (Australian Eastern Standard Time or AEST).

As the conference takes place on June 9 – 11, 2027, final payments to vendors and service providers must be completed one month prior to the event. Therefore, refunds cannot be processed after this date.

Visa & Entry to Australia

Check your visa requirements:
Australia’s visa requirements vary by nationality. Visit the Australian Government Department of Home Affairs website to determine the most appropriate visa for your visit and to check current eligibility requirements.

Electronic Travel Authority (ETA) and eVisitor visas:
Many travellers are eligible for streamlined online visitor visas. Eligible passport holders can apply for an Electronic Travel Authority (ETA, Subclass 601) using the official Australian ETA app, while many European passport holders may be eligible for a free eVisitor visa (Subclass 651).

Business visitors attending conferences:
Most international delegates attending Netnocon 2027 will enter Australia using a visitor visa that permits short-term business activities such as conferences, meetings, and academic events. Visitors should confirm that their visa conditions cover conference attendance before travelling.

Passport validity:
Visitors must hold a valid passport and visa (where required) for the duration of their stay. Passport and entry requirements may vary by nationality and individual circumstances. Always check the latest requirements before booking travel.

Apply early:
While some travellers may receive visa approvals quickly, processing times can vary depending on visa type, nationality, and application volume. We recommend applying well in advance of your travel dates.

Official information:
For the most accurate and up-to-date information on visa eligibility, application requirements, processing times, and fees, please consult the Australian Government Department of Home Affairs website and official visa resources before making travel arrangements.

Invitation letters for VISA and travel purposes

International delegates who require an official invitation letter to support a visa application, funding request, or institutional travel approval may request one from the Netnocon 2027 Organizing Committee.

Invitation letters will be issued after conference registration has been completed and payment has been received.

Please send your request to netnocon2027@westernsydney.edu.au and include the following details:

  • Full Name (as it appears on your passport)
  • Nationality
  • Date of Birth
  • Institution/Organisation
  • Position/Title
  • Passport Number (if required for your visa application)
  • Abstract or Paper ID (if applicable)

Please allow adequate time for processing your request before submitting your visa application.

Please note: An invitation letter does not guarantee the approval of a visa. Delegates are responsible for meeting all Australian visa requirements and for any costs associated with their application.
